COVID-19 Recognition Payment

One off payment details for frontline teams

On 13th May 2020 the Exec announced a one-off recognition payment for pharmacy, home delivery driver, HSC and digital pharmacy teams for their extraordinary hard work, resilience and commitment during the time of crisis.

For hourly paid colleagues, this payment is the equivalent to a 10% premium on four weeks’ pay, based on the average weekly hours worked during March, April and May 2020. For Pharmacists and Pharmacy Managers, along with frontline HSC and Digital Pharmacy managers, this is a single payment of £150. This recognition payment will be paid in the 2nd July pay. It will be subject to the usual deductions applied to pay (ie, tax, NI) however it is not pensionable (ie, no employee or employer contributions based on this recognition payment).

HOW IS THE 10% PAYMENT CALCULATED?
  • We will take your contracted hours (no overtime) worked each week in March, April and May 2020 and add them together.
  • We will then divide this number by 13 (the number of weeks across March, April and May) to give us your average weekly hours worked across the three months.
  • This figure will then be multiplied by 4 (as we get paid based on 4 weeks) and multiplied by your hourly rate.
  • We will then calculate 10% of this amount, which will give us the actual amount to be paid to you.

432/13 = 33 hours worked on average per week

33 hours x 4 weeks = 133 hours

133 hours x £8.80 (hourly rate) = £1,170.40

10% of £1,170.40 = £117.04, which is the extra amount to be paid 2nd July

 

WHY HAVE YOU CALCULATED IT IN THIS WAY?

We have calculated it across three months to ensure if you had to self-isolate for 7 or 14 days – or were off for any other reason - you are not penalised if your time off happened to be in the month we chose to calculate the extra 10% on. 

 

ARE FURLOUGHED COLLEAGUES ELIGIBLE FOR THIS PAYMENT?

No, furloughed colleagues are excluded from this payment.

 

ARE ZERO HOUR CONTRACT COLLEAGUES ELIGIBLE FOR THIS PAYMENT?

No. This payment is based on the average of ‘core’ contracted hours over the 3 month period which for these colleagues is zero.

I HAD TO SELF ISOLATE FOR 7/14 DAYS, OR WAS NOT AT WORK FOR ANY OTHER REASON DURING THIS TIME, BUT I WORKED ALL THE REST OF THE WEEKS IN MARCH, APRIL AND MAY 2020, AM I ELIGIBLE TO BENEFIT?

Yes, you are, as detailed above – with the actual hours you worked across the 13 week period being taken into account when calculating the four week average. 

 

I WORK IN CENTRAL SUPPORT BUT I HAVE SUPPORTED IN A PHARMACY OR AS A DRIVER, AM I ELIGIBLE?

If you worked in pharmacy or as a driver for six weeks or more (it doesn’t have to be consecutively) during March, April and May 2020, then yes you are. The payment will be based exactly as above: based on hours worked in the front facing role over this three month period – either for the 10% premium or £150 (depending on role) pro-rata’d for the hours you worked in the frontline role.

 

ARE NEW COLLEAGUES ELIGIBLE?

Yes, if they have worked a full month. Therefore, all new colleagues need to have started, at the latest by 1st May 2020.

 

HOW WILL THE £150 BE CALCULATED FOR A NEW COLLEAGUE?

It will be pro-rata’d, based on time in role – ie, 1/13th per week of working here.  

 

HOW WILL THE 10% BE CALCULATED FOR A NEW COLLEAGUE?

This will be done using the same calculation as above as for all existing colleagues.

 

Worked example for a colleague started on 1st May 2020:

144/13 = 11 hours worked on average per week

11 hours x 4 weeks = 44 hours

10% of £387.20 = £38.72, which is the extra amount to be paid 2nd July

 

I HAVE RESIGNED, AM I STILL ELIGIBLE?

If you are still employed at the date of payment – 2nd July 2002 – then yes, you are still eligible.

 

I KNOW A COLLEAGUE WHO WAS WORKING DURING THIS TIME BUT HAS NOW LEFT - ARE THEY ELIGIBLE?

No, to be eligible they needed to still be employed by Well on 2nd July 2020.

 

HOW WILL THE PAYMENT APPEAR ON MY PAYSLIP?

It will appear as ‘COVID-19 Rec’ in your 2nd July 2020 pay.

 

IS THE PAYMENT SUBJECT TO TAX & NI?

Yes

 

IS THE PAYMENT PENSIONABLE?

This depends on the pension scheme that you make deductions to through payroll as different schemes will treat ‘discretionary payments’ such as this in different ways.

The two schemes we recognise are:

  • The Well Pensions Scheme (through Legal and General) – this is the one that colleagues would be auto-enrolled into – is based on ‘qualifying earnings’ and therefore includes payments such as this one (ie, you will pay your employee contribution from this amount and Well will also make an employer contribution based on this amount too).
  • The Pharmacy Pension Scheme is based on ‘pensionable earnings’ and therefore excludes payments such as this one (ie, no employee or employer contributions will be made in relation to this recognition payment to your pension fund).

 

WILL THIS PAYMENT AFFECT ANY BENEFITS RECEIVED FROM THE GOVERNMENT (SUCH AS WORKING TAX CREDITS OR CHILD BENEFITS)?

If this extra money takes you above a benefit threshold, then yes it may. It will be included in your annual P60 earnings for Tax Year 2020/21.

 

IF I'VE BEEN OFF DURING THIS TIME (EG, SICK, IN ISOLATION DUE TO COVID-10, OR ON HOLIDAY) HOW WILL THIS AFFECT THIS RECOGNITION PAYMENT?

As in the examples above, any time off during this period will reduce your average hours worked and hence the payment you will receive.

 

HOW CAN WELL AFFORD THIS PAYMENT?

Our owners, Bestway, is itself a family owned business. It’s with their support, because of the pride they have in how our frontline colleagues have supported the nation during this crisis, that we are able to make this one-off payment. The Exec and Board believe this is the right thing to do despite the increased costs and reduced income Well have seen during this time.

 

I SUPPORT PHARMACY/DIGITAL PHARMACY CUSTOMER THROUGH MY WORK IN OUR CALL CENTRE ACTIVITY, WILL I RECEIVE THIS PAYMENT?

No. The roles who will receive this are detailed above. This payment is being made to recognise the work of frontline colleagues.

 

I WORK AS PART OF THE DIVISIONAL SUPPORT TEAM FOR OUR PHARMACIES/HOME DELIVERY SERVICE, WILL I RECEIVE THIS PAYMENT?

I WORK IN A SUPPORT CENTRE ROLE SUPPORTING OUR FRONTLINE TEAMS, WILL I RECEIVE THIS PAYMENT?
